The challenge: Confusing policies & maverick buying

SSE spent millions procuring goods and services from thousands of suppliers with no single way of buying. They had maverick buying, with no bulk purchasing benefits, and very little visibility on the status of a purchasing document. The majority of users did not understand the buying channels and procurement policies and this put strain on other areas of the business.

 

The solution: Automate compliance & guide users from start to finish

Level developed a knowledge automation solution called "Ask Procure to Pay” that allows employees to quickly identify the correct procurement channel for goods and services, and easily track the details and status of their documents from demand through to delivery. It gives users easily accessible FAQs that direct them to more detailed guides. Other capabilities include: 

  • Launching an existing application together with explanatory information
  • Displaying help text to explain what needs to be done
  • Querying and displaying details from the underlying application e.g. requisition status, approval status of purchase orders, or approval hierarchy routing; This allows the user to enter a purchasing document reference to see relevant information without having to log into the main system
  • Allowing the user to update purchase details
  • Creating a service request that can be answered by a procurement agent

The solution was integrated in the organizations in-office procurement systems, and it was also supplied in mobile format so that employees could use it in the field.

The ‘Ask Procure to Pay’ solution unburdened buyers and procurement experts elsewhere in the business, so they could spend more time concentrating on value-added work.
